Strict structure

The cover letter contains:

  1. Greetings(“Dear [name/position]”, “[Name], good afternoon”, “Dear”)

Although in most cases the recipient's name is unknown, it is important to ensure that the message is personalized and thoughtful. Remember that a copied, boilerplate cover letter will likely leave your resume unread. Remember that a cover letter should be read in 10 seconds. Unfortunately, a common practice in Russian culture is to include in a cover letter absolutely all projects and life experiences that are completely unrelated to the vacancy. The style of the cover letter should be consistent with the company's industry and corporate culture.

So, what is the secret to successful cover letters? They are structured, small in volume, but extremely comprehensive, stylized according to the company’s culture and do not contain errors. And most importantly, such cover letters focus on the interests of the company, and not on the personal interest of the candidate. Show that you know what the company needs and how to help it.

In general, a cover letter is understood as a kind of information certificate that is drawn up when sending documents, commercial proposals, material assets, a resume, etc. to another person.

The main tasks that this paper is intended to solve:

  1. If necessary, it can act as evidence that the documents were sent to the addressee at the right time.

    The cover letter must include the date of preparation.

    Business etiquette dictates writing cover letters (or, as they are also called, accompanying letters) when sending documents to partners, government agencies, and in other cases. This is especially convenient in situations where you need to confirm the transfer of a packet to the recipient, pay attention to fundamental points, convey a request or a guide to action, and also record the timing of response actions.     Most often, support is provided:

    • to the agreement for signature;
    • when transferring important documents (for example, returning after signing);
    • to the reconciliation report;
    • to the commercial offer;
    • to documentation to the tax office;
    • to reports, forms and requests from regulatory authorities;
    • to executive documentation;
    • to personnel documentation.

    You can write them both when transferring documents in person, and when sending them by courier, regular mail or email.

    As a rule, it is compiled by the employee responsible for the sent documents or the secretary of the organization.

    Cover letter structure

    Correspondence of organizations is regulated by GOST R 6.30-2003 dated 03.03.2003. The structure and details may vary in detail, depending on the type of support, but in general they look like this:

    1. Addressee (name and address of the organization, name and position of the employee to whom the documents are sent).
    2. Number and date of appeal.
    3. Content.
    4. List of attached documents.
    5. Verifier.
    6. Contacts.

    Accompanying documents are numbered according to the organization's record keeping rules, like other correspondence.
